Introduction 

North Sea Port processes personal data when carrying out our tasks and obligations. North Sea Port attaches great importance to your privacy as a data subject, handles your personal data with care and complies with the applicable laws and regulations regarding the protection of personal data. In order to ensure that we, as the controller, process your personal data in accordance with laws and regulations, an internal supervisor, the Data Protection Officer, has been appointed. Holder of a valid flight permit who completes the registration form (UAS operator) and pilots.

  1. Applications for drone flights  

Legal basis  

North Sea Port processes personal data in accordance with a legal obligation. Drone flights are subject to mandatory registration. The Regulations for the Geographical UAS Zone – Geozone EBR55 Ghent Harbour, effective since January 1, 2024, contain the operational regulations and practical information for anyone directly or indirectly involved in drone operations in and around the port area. These regulations are a more detailed elaboration of Part 8 of the Port Police Regulations for the North Sea Port Area of Ghent. 

Purposes  

For safety reasons in the port area and in response to questions that North Sea Port may receive from other port attendees, please also inform North Sea Port about the planned flight. 

What personal data is processed?  

UAS operator: 

  • Name;
  • Email address;
  • Phone number;
  • Drone registration number;
  • Proof of operator registration;
  • Signature. 

Pilot: 

  • Name;
  • Email address;
  • Phone number;
  • Drone registration number;
  • Proof of operator registration. 

Operator: 

  • Company name;
  • Address;
  • Port number;
  • Name and signature of responsible person
  • Device details:
  • Make and model;
  • Serial number. 

Planned activities: 

  • Date and time of flight;
  • Location of the drone flight;
  • Reason for drone flight and client (if applicable);
  • Flight route;
  • Risk analysis (flight request OPEN category);
  • Insurance certificate(s) 

How do we obtain this data?  

We only obtain personal data that you provide to us to register a drone flight.  

How long do we retain this data?  

The personal data is retained for 6 months. 

With whom do we share this data?  

Form submission is handled through Drupal. The data entered is sent via Drupal to the relevant mailboxes within North Sea Port. 

Transfer of personal data  

No personal data is provided to countries outside the European Economic Area (EEA).
